The rules for using the ElevexMedia client portal — what it is for, what you may upload, and what happens if these rules are broken.
1.1 This Acceptable Use Policy (this "Policy") governs your use of the ElevexMedia client portal at elevexmedia.com/portal (the "Portal"), operated by Elevex LLC ("Company," "we," "us").
1.2 This Policy applies in addition to our Terms and Conditions and Privacy Policy. Where a Master Services Agreement (MSA) is in place, the MSA governs the commercial relationship; this Policy governs use of the Portal itself.
1.3 By accessing the Portal, you agree to this Policy. If you do not agree, do not use the Portal — you may continue working with us by email instead.
2.1 The Portal exists so that everything on your engagement lives in one place instead of scattered email threads. Through it you can:
2.2 The Portal is a working tool for a specific engagement. It is not a general file storage service, a backup location, or a communications platform for matters unrelated to our work together.
3.1 One account, one person. Your account is personal to you. Do not share your login credentials. If someone else on your team needs access, ask us and we will set them up properly.
3.2 Keep it secure. You are responsible for activity carried out under your account. Tell us promptly if you believe your account has been accessed by someone else.
3.3 Accuracy. Keep your contact details current. We use them to reach you about invoices, documents awaiting signature, and time-sensitive matters.
4.1 Limits. The following limits apply to attachments:
| Limit | Value |
|---|---|
| Maximum size per file | 25 MB |
| Maximum files per message | 10 |
| Maximum total size per message | 50 MB |
| Accepted file types | Documents (PDF, Word, Excel, PowerPoint, text, CSV), images (JPG, PNG, GIF, WebP, HEIC, SVG), archives (ZIP, RAR, 7z) |
4.2 Executable files are rejected. Programs and scripts — including .exe, .bat, .js, .ps1, .jar and similar — are blocked automatically, regardless of how the file is named. If you need to share code, use an archive or a repository link.
4.3 Large files. If you need to send something larger than the limits above, tell us in a message and we will agree on a suitable method.
4.4 Your responsibility for what you upload. You confirm that you have the right to share the material you upload, and that doing so does not breach a confidentiality obligation you owe to someone else. We cannot verify this for you.
5.1 You must not use the Portal to:
6.1 Material we place in the Portal — audits, action plans, methodologies, specifications — is our confidential work product, prepared for you. Do not share it outside your organisation without our written consent.
6.2 Where a Mutual Non-Disclosure Agreement is in place, its terms apply to information exchanged through the Portal in the same way as to any other channel.
7.1 We aim to keep the Portal available, but we do not guarantee uninterrupted access. Maintenance, updates, and occasional downtime are expected.
7.2 The Portal is provided as a convenience alongside our services. If it is unavailable, we will continue working with you through other channels — availability of the Portal is not itself a deliverable.
7.3 We may add, change, or remove Portal features. Where a change materially affects how you use it, we will tell you.
8.1 Depending on what happened and how serious it is, we may:
8.2 Proportionality. For anything other than a serious or deliberate breach, we will contact you first. Suspension without notice is reserved for cases where continued access presents a genuine risk — for example, a compromised account or an active security threat.
8.3 Effect on the engagement. Losing Portal access does not by itself terminate our services or your payment obligations. Those are governed by the MSA and the applicable Statement of Work.
9.1 Material in the Portal is retained in accordance with Section 7 of our Privacy Policy.
9.2 The Portal is not a backup service. Keep your own copies of anything you need to retain — we are not responsible for material you have not stored elsewhere.
10.1 We may update this Policy. Material changes will be communicated through the Portal or by email, and the "Last updated" date below will change.
10.2 Continued use of the Portal after a change means you accept the updated Policy.
If anything here is unclear, or you are not sure whether something is allowed, just ask — the quickest way is a message inside the Portal.
